Room Rental Frequently Asked Questions

Appointments are required for facility tours. Please contact Culture Manager Ann Eatchel, aeatchel@ch.utah.gov, to set up a tour or to ask questions that aren't answered below.

How does the rental process work?

Contact us via email or phone to check the availability of your desired date or submit the rental application with your preferred dates.
Complete the online rental application if you haven't done so already.
Once we receive and approve your application and confirm the date is available, we’ll send you an email with details on your rental fee, deposit information, and payment instructions. Your date will be held for three business days. If payment is not received within that time, the hold will be released.
Upon receipt of both the rental and deposit fees, your booking will be confirmed.

What is the difference between the rental fee and the deposit fee?

The rental fee covers the use of the facility, while the deposit fee is a refundable security charge for potential damage, improper cleaning, or additional time used.

The security deposit is refundable once city staff confirms:

No building or property damage

No missing city property

No rental agreement violations

Adherence to the reserved rental times

The facility and surrounding area are clean and orderly

If any damage or violations occur, deductions will be made from the deposit. If additional charges are required beyond the deposit, they will be assessed to the renter. Security deposits are managed by the coordinator and refunded within two to three weeks after the event, pending inspection.

What should I expect on the day of my rental?

Your rental time begins exactly at the start time listed on your application.
On the day of your event, a room monitor will unlock the building and review a checklist with you. This initial checklist allows you to note any prior damage before your event begins. At the end of your rental, the room monitor will go through the checklist again to ensure the space is clean and undamaged. This final check also records any cleaning or damage issues that might affect your deposit refund.

Do you provide tables and chairs for rentals?

Yes! We offer a variety of tables and chairs for renters to use, including both rectangular and round options. However, availability cannot be guaranteed, as some items may be in use by other city departments.

Approximate quantities and sizes:

Chairs: Up to 120 chairs may be available.
Tables:
- Round Banquet Tables: 60-inch rounds, seating up to 8 people each.
- Rolling Conference Tables: Each table seats 2 people.
- Rectangular Tables (availability varies): When available, options include 8’x 3’, 6’x 3’

Please confirm specific availability prior to your event date to ensure the furniture meets your needs.

Can we decorate the room?

Is there an audio/video system available?

Yes, we have an integrated audio/video system. To connect sound or video, you will need to use your laptop with our wireless presentation system (Clickshare) or via HDMI connection. The Clickshare system requires you to download software to your computer and connect using a Clickshare device via a USB port.

Please note that the audio system does not support Bluetooth connectivity. While we strive to provide a reliable A/V system and public Wi-Fi, we cannot guarantee compatibility with your devices or that they will meet all your requirements. If the A/V system is essential for your event, we recommend bringing your own equipment and hotspot for assurance or meeting with us in advance to test the compatibility of your technology with our system.

Is there a kitchen available?

General policy

The Cottonwood Heights city hall is available for resident use. Non-community groups and non-residents may also be scheduled based on secondary availability and city approval. Review the Facility Use Policy and fill out the Facility Use Application.

Building rental hours

Rooms are only available for rental during the following times:

Monday, Wednesday, and Thursday: 6-10 p.m.
Tuesday: Closed
Friday: 6-11 p.m.
Saturday: 9 a.m. - 11 p.m.
Sunday: Closed

Rentals cannot interfere with city business, and city meetings and events take precedence over other building use.

Fees

All rentals have a mandatory two-hour rental minimum and include set-up and clean-up times. You'll incur a $50 charge for each additional 15-minute increment or portion of that increment. For example, if you arrive 20 minutes early, you'll incur a $100 charge. You can add other rooms to a rental for half its regular rate. The least-expensive rental rate will be discounted.
